Flight Monitoring
We actively monitor your flight in real time. Whether your flight arrives early or is delayed, your driver will adjust accordingly to ensure you are collected on time.
Driver Details & Communication
Your driver’s name, phone number, and vehicle details will be sent within 12 hours of your scheduled pick-up, via email, text message, or WhatsApp. Please contact us if you have not received these details.
The driver will keep in touch and confirm their exact arrival time. If you use WhatsApp, you will receive live updates. Please ensure your phone is switched on after landing to allow smooth coordination.
If you encounter any issues, you can always reach the office or driver using the contact details provided.
Meeting Points – Heathrow Airport
The pick-up location at Heathrow Airport depends on the terminal where your flight lands. Our drivers provide a meet-and-greet service inside the arrivals hall at the designated meeting point for your terminal, holding a board with your name for easy recognition. Each terminal has a designated meeting point to avoid confusion:
Terminal 2: WHSmith (Arrivals Hall)
Terminal 3: Caffè Nero (Arrivals Hall)
Terminal 4: Costa Coffee (Arrivals Hall)
Terminal 5: Costa Coffee (Arrivals Hall)
If you cannot locate your driver, please remain at the meeting point and call the number provided.
Waiting Time Policy
We understand that passport control and baggage claim may take time, so our policy allows for generous waiting:
Free Waiting Time: 75 minutes from the actual landing time. This includes 60 minutes at the meeting point plus an additional 15 minutes grace.
Extended Waiting: If passengers doesn’t show within 75 minutes, extended waiting fees will apply thereafter. Charges are applied per 15-minute slot, depending on the vehicle category: Saloon: £12.50 per 15-minute slot, MPV / Executive: £15.00 per 15-minute slot, Large MPV / Business MPV / Luxury: £17.50 per 15-minute slot. These fees cover parking and driver time. Payment can be made in cash to the driver or by card, via a secure payment link.
Communication During Delays: In case of major delays at passport control or baggage reclaim, please notify your driver immediately to avoid confusion.
No-Show: If after 90 minutes from landing the passenger is uncontactable or fails to show up to the meeting point, the booking will be classified as a no-show, and a refund will not be possible.
Meet & Greet & Luggage Assistance
Your driver will meet you at the designated point, assist with your luggage, and escort you to the vehicle. Assistance is provided for both loading and unloading to ensure a comfortable experience.

What to expect

We contact the passenger through any available type of communication to confirm their booking details, if necessary we can adjust the pick-up time and location at the customer's request.

We make sure that the driver will have enough time to arrive at the time set to pick up the client.

We are sending you the driver's details and phone number to make sure you can contact them at any time if necessary.

When picking up from the airport or from any Port from Southampton, the driver will wait for the passenger in the arrivals area with his name written on the name board.

The driver will be in contact with the customer and will inform them exactly what time he will arrive at the pick-up location.

When the driver meets the passenger, he will help him with the luggage, when picking it up to the car, as well as at the destination by unloading it from the car.

Luggage Allowance
Our fleet is designed to accommodate both passengers and their luggage comfortably. Allowances per vehicle type are:

Saloon: Up to 2 passengers, 2 large/medium suitcases + 2 carry-ons.
MPV : Up to 4 passengers, 4 large/medium suitcases + 4 carry-ons.
Large MPV: Up to 6 passengers, 6 large/medium suitcases + 6 carry-ons.
Executive: Up to 2 passengers, 2 large/medium suitcases + 2 carry-ons.
Luxury: Up to 2 passengers, 2 large/medium suitcases + 2 carry-ons.

Each passenger may also bring one personal item, such as a handbag or backpack.

Oversized Luggage: Items such as surfboards, golf clubs, or bicycles may not fit in standard vehicles. Please inform us in advance so we can recommend a suitable vehicle.

If your total luggage exceeds the allowance for your booked vehicle, an upgrade to a larger vehicle will be mandatory for comfort and safety.
It is therefore very important that you inform us of the exact number and size of your bags in advance. Please read the luggage information carefully, as sending an unsuitable vehicle may result in your luggage not fitting.
